These appointments can be scheduled with any fitness coach or trainer on the fitness floor during the times they have available on the activtrax schedule.

  • TeenQuest will be an orientation to cardio machines and selectorize machines (equipment in front half of the gym – no free weights) for 3 sessions

This is for teens ages 13-14 who would like to go through a curriculum to learn how to use free weights in the facility with a trainer. Like any other personal training program, a consultation must be done with their trainer first to review what the training program will be before starting their first session. Contact Kim to schedule a consultation for the member if they have not contacted a trainer themselves. The link for this is on the programs page just like any of our other personal training programs linked here: https://faymca.org/programs/229/teen-free-weight-training-program/?locations=13

Spreadsheet (Rev. 2/3/26)

Applications are processed by Sarah Tate.

Check the spreadsheet on the application status (must be logged in with Welcome Center google account). If not marked as complete, that means we reached out to them for more information which is typically because we are missing all documents–ask them to check their email including spam.

Applications must be submitted online — allow one to two weeks for processing. If approved, assistance is only good for one year, at which time, the applicant has to reapply.

Tour Language pdf from the National Y

  • Watch the Giving a Cause Driven Tour video and gather talking points.
  • Find out about the guest’s needs, goals, and the type of membership they are interested in–who else may be joining with them?
  • Get to know about our programs, classes, and new member benefits to provide up to date and relevant information.
  • Familiarize yourself with the facility and staff.
  • Direct or show them how and where to locate the following information online–if they specifically request a hard copy, you may print these:
    • Membership guide
    • Pool schedule
    • Class descriptions
    • Program and event guide
  • Make program and class suggestions they may enjoy/benefit from.
  • FitQuest info and 3 free sessions  (see below)

After the tour, if they are ready to sign up:

  • If Silver & Fit, Active & Fit, or Renew Active, complete verification process. If FitOn, check the Excel spreadsheet to ensure their name is on there.
  • If corporate membership, request employee ID
  • Only give access card to those adults who are physically present at the time of sign up–if they are not, they will need to come up to the desk later and provide their ID so we can confirm household status (address match), DOB, etc. and take their photo
  • If the membership includes dependents, give information about child watch and other kids programs, as well as rules on the Zone and equipment usage on fitness floor (see info in binder)
  • Remind of 30 day cancellation policy and make it clear that there will be a final charge for their last month
  • Ask them to follow us on social media (Facebook & Instagram) to stay up to date with all the happenings and important messages
  • Encourage them to download our app (can access in 2-3 days) and opt in for notifications–especially important if they use the pool so they get alerts about pool closures or delays

Each member (15 and up) gets 3 free sessions with a fitness coach. This program is almost like an intro to personal training (it is NOT PERSONAL TRAINING). Can be done 2 on 1 (each member needs to pay)

Y FitQuest, powered by ActivTrax, is a personalized fitness program designed to meet your specific fitness needs and is included in Y membership at no additional cost. With exercise programs customized to fit your needs, and online fitness and nutrition tools, FitQuest supports all ages and fitness levels. You can also link most wearable devices to FitQuest and track your activity automatically.

To get started, a Y Fitness Coach will guide you through a 3-step FitQuest orientation:

  • 1st Step: goal setting, strength evaluation with equipment review, set up ActivTrax profile and log in
  • 2nd Step: complete 1st workout with Y Fitness Coach
  • 3rd Step: progress check, 30-minute introductory session with a personal trainer, a special offer for completing the FitQuest orientation

FitQuest appointments are scheduled online at the ActivTrax website. We schedule first session, and the remaining two are typically scheduled by their trainer following their first sessiont

      • If there are names on the placeholder registrations, that means there’s a waitlist and it will tell you how many people are on it.
  • Register Members for Personal Training: To ensure members are matched with the right trainer and have a consultation scheduled before purchasing a package, staff should follow this process:
    1. Ask the member if they:
      • Already had a consultation with a trainer
      • Have a consultation scheduled
      • Have not spoken to anyone yet
    2. If they do not have a trainer:
      • Help them schedule a free consultation with a trainer of their choice, or
      • Refer them to Kim Wyatt ([email protected]) or Kinley Wilson [email protected] if they need help choosing a trainer
    3. Once the consultation is completed, they can purchase their training package at the Welcome Desk.
Full payment is due at the time of purchase.

This process helps avoid confusion and ensures every member is set up for success.

    • It is a good practice to use the link and print copies this way each time so that you are accessing the most recent version of the list of descriptions

If someone does not come up in the database with a scan, call their home Y and see if they have a regular active membership. Here’s some more info on the NW program:

  • The Nationwide Membership program is valid for YMCA full facility/full privilege members only.
  • Program-only participants (including Silver & Fit, Active & Fit, Renew Active, Exercise is Medicine, Livestrong, Rock Steady Boxing) are not eligible for nationwide membership. If a member at another Y is visiting and not coming up on the Nationwide system, this may also be the reason why they are not–they may not qualify at their Y)
  • YMCA full facility/full privilege members must use their home branch the majority of the time (more than 51%). Usage will be monitored over a 28 day period and your “home branch” will notify you if you are using another branch more and your membership needs to be transferred.
  • Program discounts do not apply. Participating YMCAs reserve the right to restrict facility or program access. Other restrictions and exclusions may apply.

Membership Hold Guidelines

  • Members may place their membership on hold for up to 2 months, once per calendar year.
  • Holds must be requested in advance and will not be applied retroactively.
  • Membership dues will be paused during the hold period, and access to YMCA facilities and programs will be temporarily suspended.

Extenuating Circumstances

We understand that unexpected situations, such as medical issues, military deployment, etc., may require a longer hold period. In such cases, members may request an extension by providing appropriate documentation. Requests for extensions will be reviewed on a case-by-case basis.
